| Description: | The Senior Coordinator, Legal Records will work with WNET’s Corporate Legal Department to establish and implement a uniform file structure for the Document Management Software (DMS) and Corporate Records (CR). In addition, the Senior Coordinator will manage the Law Department materials in storage in accordance with the company’s Record Retention Policy using approved forms and manage the filing, locating and, upon request, retrieval of files. Specific responsibilities include: • Obtain internal/external signatures for signature copies of agreements • Circulate fully executed agreements for external and internal distribution • File original signed agreements into the DMS and CR • Manage requests from outside the Law Department • Integrate documents (releases, outside agreements, etc.) saved to the Corporate Records Outlook mailbox by outside departments • Participate in the creation, development and implementation of a Contracts Management database • Input summary information for each signed agreement into the Contracts Management database • Generate and include a summary sheet of signed agreements and relevant outstanding agreements (distribution, talent, co-production, etc. – provide notes explaining why agreement(s) are outstanding) from the Contract Management database and include in the CR file. • Develop a schedule for periodic archiving of Law Department files • Performs records compliance audits as assigned Qualifications: • BA/BS or equivalent work experience and two years experience working in a corporate legal environment • Advanced proficiency with MS Word and Excel; some experience working with databases will be required. • Ability to file coded documents correctly and challenge incomplete or inaccurate information • Excellent written and verbal communication skills and the ability to work effectively with internal and external customers. Candidates with the following are preferred: Completed coursework in records retention; law firm or records management experience; proficiency with Hummingbird. |
